Arra gondoltál már, hogy keress egy megbízható vállalatirányítási rendszert? Egy olyan rendszert, ami jelentősen segít hatékonyan és transzparensen működtetni a vállalkozásodat?
Az alábbi cikkben összegyűjtöttem öt nyomós érvet, miért is érdemes vállalatirányítási rendszert használni.
Mik is azok az ERP vagy vállalatirányítási rendszerek?
Nagy vonalakban a vállalatirányítási rendszerek olyan informatikai megoldások, melyek akár a vállalat minden tevékenységi területén – például beszerzés, rendeléskezelés, számlázás, törzsadatkezelés – adatot tárolnak, továbbítanak. Ezen kívül lehetővé teszik az adatok feldolgozását, lekérdezését a rendszert működtető személyek által. Az ERP (Enterprise Resource Planning) vagy vállalati erőforrástervező rendszer a vállalatirányítási rendszernél szűkebb kategória, mégis ez az elnevezés terjedt el a vállalatirányítási rendszer szinonimájaként.
Az ERP tehát az agy a vállalkozásodban. Szinte láthatatlanul tartja mozgásban a folyamatokat, figyelmeztet a hibákra, határidőkre, betartja a számviteli követelményeket és nagyszerű kimutatásokat készít.
Miért használjunk vállalatirányítási rendszert?
Az ERP rendszerek bevezetése jelentős költséggel jár, ami legtöbbször csak hosszú távon térül meg. Ennek ellenére számos olyan előnye van, ami már a kezdeti használatnál érezhető. Nézzük, mik is ezek:
- Hatékonyság: az ERP rendszer használatával kiküszöbölhető, hogy a különböző tevékenységekre, feladatokra külön rendszereket használjunk. Egy adott informatikai rendszerben szervezetten tárolhatók az adatok és működtethetők a munkafolyamatok. A vállalat munkatársai egyidőben hozzáférnek a rendszerhez, nem kell egymásra várniuk ahhoz, hogy folytassanak vagy befejezzenek egy feladatot. A vállalatirányítási rendszerekben a folyamatokat automatizálni lehet, amivel jelentősen növelhető a produktivitás, továbbá időt és ezzel együtt pénzt lehet megtakarítani.
Ahhoz például, hogy egy vevő megrendelése bekerüljön a gyártási folyamatba az értékesítést és a gyártást végző munkatársaknak még csak beszélniük sem szükséges egymással. Az értékesítő beviszi az ERP-ba a vevő megrendelését, ami a rendszeren belül automatikusan eljut a gyártási modulba. Itt legyártják a terméket, amit majd kiszállítanak a vevőnek. Mindezeknek természetesen előfeltétele, hogy az ERP rendszerben pontosan be legyenek állítva a folyamatok és a munkatársak ismerjék is őket.
- Kevesebb az emberi hiba: mivel az adatok tárolása, feldolgozása és egyes folyamatok működtetése automatikus a rendszerben, számos, a manuális adatbevitelből és feldolgozásból eredő emberi tévesztés elkerülhető.
- Megbízhatóbb és gyorsabb az adatok lekérdezése, hiszen minden adat elérhető egy helyen, és a legtöbb ERP-ban előre beállítható milyen adatot, milyen formában és mikor szeretnénk letölteni. A beszállítóktól kapott ajánlatokat például könnyedén össze lehet hasonlítani, ahogy az áfa összesítést is gyorsan el lehet készíteni.
- Egyszerűbb a folyamatok ellenőrzése, a kockázatkezelés. Ez az előny is abból ered, hogy egy adott rendszerben tároljuk és dolgozzuk fel a vállalat adatait. Így ugyanis pontosan meg lehet határozni, hol szükséges ellenőrzést vagy jóváhagyást beiktatni egy munkafolyamatba. Az ERP-ban például beállítható, hogy csak a cégvezető hagyhassa jóvá a szállítói számlák kifizetését.
- Elégedettebb vevők és munkatársak. Ez az előny tulajdonképpen az előző négy pont következménye. Egy jól előkészített és végrehajtott ERP bevezetés után a munkatársaid olyan eszközt kapnak segítségül, amivel hatékonyan tudják ellátni a feladataikat és ezáltal magabiztosabban kiszolgálni a vevőigényeket.
Fontos azonban kiemelni, hogy a felsorolt előnyöket csak akkor élvezheted maradéktalanul, ha nagyon körültekintően választasz ERP rendszert. Elengedhetetlen, hogy még a kiválasztás előtt
- vizsgáld át az összes munkafolyamatodat, lehet-e egyszerűsíteni, racionalizálni őket
- fogalmazd meg világosan, milyen elvárásaid vannak a vállalatirányítási rendszerrel kapcsolatban. Itt figyelembe kell venned a jogi, számviteli és egyéb előírásokat, követelményeket is.
Ezek után kezdődhet a keresés. Van miből választanod, mivel számos ERP rendszer áll a KKV-k rendelkezésére a magyar piacon. Függetlenül attól, mekkora a vállalkozásod, biztosan találsz megoldást. Kérd szakértő tanácsomat.
