Nemcsak a hatékony munkavégzéshez, de a munka-magánélet egyensúly fenntartásához is elengedhetetlen a priorizálás, azaz tennivalóink fontossági sorrendbe állítása. Ahhoz, hogy ne csak tűzoltást végezzünk, belekapva egy-egy feladatba, pontosan tudnunk kell, milyen kötelezettségeink vannak és milyen határidőket kell betartanunk. A tudatos tervezés segít abban is, hogy motiváltak maradjunk és célratörően hozzunk döntéseket.
A hatékony időbeosztásról és a delegálásról korábban írt cikkeimben már érintettem a priorizálás jelentőségét. Nézzük most meg, hogyan lehet hatékonyan fontossági sorrendbe állítani a feladatainkat.
Hogyan kezdj neki?
- Készíts listát az összes feladatodról.
2. Kategorizáld a tennivalóidat fontosság és sürgősség alapján:
a) mi a fontos és sürgős: csináld meg azonnal
b) mi a fontos és nem sürgős: tervezd meg, mikor végzed el ezeket
c) mi a sürgős, de nem fontos: delegálható, kiszervezhető feladat
d) mi a nem fontos és nem is sürgős: tedd félre, később térj rájuk vissza
3. Határozd meg a feladatok valós fontossági sorrendjét úgy, hogy minden nap végén összeírod és sorrendbe állítod azt a hat feladatot, amit másnap el akarsz végezni. E szerint a lista szerint dolgozz, mindig csak egy tennivalóra összpontosítva.
4. Azoknál a feladatoknál, melyeket azonos fontosságúnak ítélsz, alkalmazd az ABCDE elvet. Jelöld A-tól E betűig a teendőidet úgy, hogy az A a legnagyobb prioritású feladat. Azután az összes A-val jelölt feladathoz rendelj sorszámot annak megfelelően, hogy milyen sorrendben fogod elvégezni azokat.
5. Kezdd a napot egy összetett, de fontos feladattal! Amikor összeállítod a fontossági listádat, figyelj arra, hogy a bonyolult, akár nem-szeretem munkákat előre veszed. Ezeknek a feladatoknak az elvégzése megadja a lendületet a továbbiak elvégzéshez. Nem fogsz egész nap rágódni rajtuk.
6. A legfontosabb tennivalóidat a legproduktívabb napszakodban végezd el.
Amit még fontos észben tartani
Ne feledkezz meg arról, hogy a feladataid pontos meghatározása és fontossági sorrendbe állítása a rövid- és hosszútávú céljaid eléréséhez kulcsfontosságú. Ezért időről-időre meg kell vizsgálnod, hogy a jó irányba haladsz-e, nem kell-e módosítanod akár a tennivalóidon, akár ezek prioritásán.
